Facility permitting and contracts, including Party Packages, are handled by our central Rentals and Permitting team at Town Hall. Recreation Customer Service staff are also available for in-person support and facility inquiries at Recreation Centres.

Party Package options

Every party package is designed to make celebrating easy for you and unforgettable for your guests. Each party package includes two and a half hours of private party room time. Within that time, your guests will enjoy one hour of staff-led activity (such as swimming, sports, or crafts). The remaining time is yours for food, cake, and celebrations.

🌊 Pool Party (All Ages)

Splish, splash, and dive into fun! Celebrate your special day with a private pool party that includes exclusive pool time and a party room to enjoy all your favourite party traditions. Swimming admission standards apply.

Cost

$393.98 (up to 25 participants) or $417.29 (up to 50 participants) - Participant refers to anyone in the water or remaining on the pool deck.

  • CCRW: Saturdays, 4:45 to 6:30 p.m.

  • CECC: Saturdays, 1:45 to 2:45 p.m. & Sundays, 5:30 to 6:30 p.m.

  • SCC: Saturdays, 3:30 to 5:30 p.m. & Sundays, 4:30 to 6:30 p.m.

Party Schedule

  • Two and half (2.5) hours exclusive use of a party room (room booking overlaps with pool time).

  • One (1) hour exclusive use of the pool with certified lifeguards.

Included Amenities

Lifejackets, flutter boards, and floatation belts, and other select equipment will be available for use. Lifeguards reserve the right to prohibit items that may present a safety concern. 

🧸 Kinder Party (Ages 2Y to 6Y)

Get ready to party! Celebrate your little one’s special day with a fun-filled Kinder Party designed just for ages 2–6. Enjoy a mix of games, crafts, and plenty of smiles in a playful and engaging environment.

$262.65 (up to 8 participants) or $285.95 (up to 12 participants max)

CCRW: Saturdays, 12:30 to 5:30 p.m. & Sundays, 9:30 a.m. to 5:30 p.m.

Party Schedule

  • Two and half (2.5) hours exclusive use of a party room (room booking overlaps with activity time).

  • One (1) hour exclusive use of the childminding room, where one group activity and one craft will be led by our staff.
    Program staff will confirm the selected activity and craft upon arrival on the day of the party.

🏀 Sports Party (Ages 6Y+)

Calling all sports enthusiasts! Get ready for action with a party packed full of energy and fun. Enjoy one hour of exclusive gym time, where you can choose from a variety of exciting sports—perfect for kids who love to stay active! Sport and activity admission standards apply.

$393.98 (up to 10 participants) or $451.39 (up to 20 participants max)

🎮 Youth Centre Party (All Ages)

Looking for a party that’s fun, exciting, and packed with variety? Enjoy exclusive access to the Youth Centre, where guests of all ages can stay active and entertained with a wide range of games and activities—plus space to celebrate your favourite party traditions!

$367.71 (up to 15 participants) or $425.13 (up to 30 participants max)

CCRW: Saturdays, 10 a.m. to 7 p.m. & Sundays, 9:30 a.m. to 5:30 p.m.

Party Schedule

Two and half (2.5) hours exclusive use of the Youth Centre to host guests and activities.

  • All Ages: Foosball, air hockey, billiards table, and skeeball.

  • Lawn Games (6Y+): Giant Connect Four, Jenga, and snakes and ladders.

  • Preschool Toys (1Y to 6Y): Small obstacle course, bean bag toss, roller coaster car, plazma car, and jr. basketball. 

🧗 Rockwall Party (Ages 8Y+)

Challenge yourself and reach new heights with our Rockwall Party! This physically engaging experience is perfect for adventurous guests looking for a fun and active celebration. Whether you're a beginner or a seasoned climber, our rockwall is designed to accommodate all skill levels. Rockwall admission standards and waivers apply.

Frequently asked questions (FAQs)

Planning a party comes with lots of little details, and we want to make things as simple as possible. Below are answers to some of the most common questions we hear from clients. If you don’t see your question here, our Rentals team is happy to help guide you through the process.

How do I inquire about booking a party package?

If you already have specific details in mind, use our online availability tool to check availability of spaces up to 90 days in advance. Afterwards, fill out the online Facility Rental Request Form. It asks for details about your rental, like dates, times, location preferences, and activities. If you have questions, feel free to contact our Facility Rentals team.

How far in advance should I book a party?

You can submit requests up to 90 days in advance and check our online availability tool within that timeframe. We ask that all parties be booked at least three weeks in advance to allow time for confirmation and preparation. After you submit the Party Request Form, our team will confirm availability and details of your reservation.

What's included in a party package?

Each party package includes 2.5 hours of exclusive use of a private party room, complete with tables and chairs set up by our staff. Within that time, your guests will enjoy 1 hour of themed activity led by trained facilitators, tailored to your child’s age and interests.

How do I complete my booking?

Simply fill out the online Party Request Form. Once submitted, our booking team will confirm availability and send you a contract, payment instructions, and any participant waivers via email. Full payment, a signed contract, and proof of insurance are due immediately—and proof of insurance must be submitted within one business day of booking.

How do I pay for my party?

Full payment is due upon signing your Facility User Agreement and can be made online using an online recreation account or over the phone by Visa or Mastercard credit or debit cards. You can also pay by credit or debit card, cheque, or cash at Town Hall or any Recreation Centre.

What is the cancellation policy?

The refund policy is outlined in the Facility User Agreement you sign, and we encourage you to review it carefully before confirming your booking. Cancellation terms may vary, but generally, once you have signed your contract and provide payment, you will forfeit 20% of the amount paid if you choose to cancel. If you cancel within two weeks of your rental date, you will not receive any refund.

This policy is in place because it can be challenging to rebook the space you reserved. Many renters make alternative arrangements quickly, and we likely have already turned away other interested parties since the space was held for you. We do not maintain a waitlist, making it even more difficult to fill the vacancy at short notice.

Do party packages have admission standards or special requirements?

Yes, some parties have additional requirements to ensure participant safety. For example, Pool Parties may require adult supervision in the water, Sports Parties may require helmets for certain activities, and Rockwall Parties require signed waivers. Full admission standards are listed in each party description.

What are the insurance requirements?

You are required to obtain insurance coverage for each space included in your booking. For example, a Pool Party requires insurance for both the pool and the party room, while a Sports Party requires coverage for the gymnasium and the party room.

We've partnered with an insurance provider to make it easy for you to purchase the necessary insurance online. Insurance costs are usually minimal, but they can vary based on the activities and the number of attendees at your rental (e.g., sports, meetings, birthdays). Alternatively, you can use your own insurance by having your broker complete a form. When can I access the party room to start decorating?

Access begins and ends at the times specified in your Facility User Agreement. Additional time must be purchased in advance, subject to availability. Our staff will handle tables, chairs, and garbage, while you’re responsible for food and decorations.

What if I want more time in the party room or activity?

Extra time can be arranged, but it is not included in the standard party package. If you’d like additional time in the party room or to extend your activity, this will be charged at the regular hourly rate and may also require additional staffing costs. Our Rentals team will confirm availability and provide you with the exact costs before finalizing your booking.

Is there staff on-site to help during my party?

Staff are there only to facilitate the 1-hour themed activity. They are not available to assist with decorating, serving food or cake, or organizing gifts. For the remainder of your 2.5-hour booking, the room is self-directed.

Can I drop my child off at a party without staying?

No, all rentals, including party packages, require at least one adult (18 years or older) to remain on-site for the duration of the party. Some packages may also have specific adult supervision requirements within their admission standards.

Additional parents/guardians are welcome to stay, provided the total number of guests does not exceed the party room capacity. The ultimate responsibility for all party guests, including any liability or damages, rests with the individual who signed the Facility User Agreement.

Can I bring in outside vendors, performers, or DJs for my rental?

Yes, you can bring in vendors for your rental. A vendor is any individual, partnership, and/or corporation (for-profit and not-for-profit) who provides either a product, service, appearance, or presence before, during, or after your event, regardless of the dollar value. It includes those serving food, serving liquor, selling products, demonstrating product, performing, providing equipment, providing security service, giving out information, etc.

You will need to complete a Vendor Listing Form and each vendor must provide proof of insurance before the rental. Review our Vendor Requirements for more information.

Can I serve food at my party?

Yes, you can serve food at your rental, but our facilities do not have commercial kitchens and are intended for warming purposes only. Additional documentation, permits, or insurance may be required, depending on who is providing and consuming the food and beverages. Review our Food and Beverage Requirements for more information.

Can I have alcohol at my party?

No, alcohol service is not permitted with any party package rentals. If you’d like to serve alcohol at your event, you’ll need to book it as a regular facility rental instead, which has separate requirements. Review our Alcohol Requirements for more information.

Can I have inflatables at my party?

No, inflatables are not permitted indoors.

Can I have animals at my rentals?

Only service animals are permitted within indoor Town facilities due to health and safety regulations and to ensure a safe and comfortable environment for all patrons. Service animals are trained to assist individuals with disabilities, which makes them essential rather than discretionary pets. Other animals may pose risks such as allergens, cleanliness concerns, or disruptions.

Why does it cost more for a party room at Rotary Place?

Rotary Place is a shared community facility used by the Town of Caledon and the Caledon Seniors Centre at the Caledon Centre for Recreation and Wellness (CCRW). A mandatory Facility Attendant at a rate of $22.03/hour is required for every facility booking within the Multi-Purpose Room and kitchen spaces.

Why does it cost more for a Pool Party at Southfields Community Centre (SCC)?

Pool Parties at Southfields Community Centre require an additional lifeguard because the facility has two separate pool tanks. To meet mandatory lifeguard supervision ratios, extra staff must be scheduled, which increases the overall cost of the party package.
